Work through your orders list

The views that sort your work and their counts, “More views”, acting on an order from its row and previewing it without leaving the list.

Last updated

The orders list is where your day's work starts. This article explains what each column shows, how the views sort your orders into work to do, and how to act on an order or look inside it without leaving the list.

The orders list and its columns

In the sidebar, under Selling, open Orders. Your newest orders come first, 20 to a page; Previous and Next at the bottom move between pages, and the line between them shows the page and the total, such as "Page 1 of 4 (69)".

The orders list as it opens: newest orders first.

The list does not update by itself. Beside the title, a line such as Updated just now says when it last loaded; select Refresh to bring in orders placed since then. The bell at the top of the console tells you when a new order arrives — see Keep up with notifications.

Each row is one order, on one line:

ColumnWhat it shows
Tick boxSelects the order, to update, print or export several orders at once (Starter and up). See Update several orders at once.
OrderThe order number, such as ORD-20261014-6A1E43. The middle part is the date the order was placed (year, month, day), in UTC.
CustomerThe customer's name. Point at it to see their email, or their phone when there is no email.
Order stageWhere the order is, such as Awaiting confirmation or In delivery. See How order stages work.
PaymentThe payment status, such as Paid, Awaiting collection or COD collected. Point at it to see the payment method: Cash on delivery or HyperPay.
DeliveryThe delivery provider. This column appears only when your screen is wide enough; the provider is always on the order itself.
TotalThe order total. A cash on delivery total that you have not collected yet is drawn in a lighter grey, and pointing at it says Awaiting collection. When a gift card or loyalty points paid part of such an order, a line under the total says what the driver collects, such as To collect JOD 48.500.
CreatedHow long ago the order came in, such as "2 hr. ago" or "yesterday". It turns amber when the order is due soon and red when it is overdue. Point at it for the exact date and time.
Next actionThe next step, as a button: Confirm, Prepare, Mark ready, Update, Mark collected and so on. No action means the order needs nothing from you.
⋯The order actions menu, explained below.

The leading edge of each row carries the colour of its stage, so red rows that need attention stand out as you scroll.

The summary: counts on the views

The row of views above the table is your summary. Each view carries a count, so you can read the state of your store at a glance:

  • Today — orders placed today.
  • Needs attention — orders with a problem to solve.
  • Ready to ship — packed orders waiting for the delivery provider.
  • In delivery — parcels on their way.
  • COD orders — delivered cash on delivery orders whose cash you have not recorded. See find every order with cash to collect.
  • Payment failed — card payments that failed.

A view with nothing in it shows a grey 0. The counts follow your search, dates and tag filter, so with the Today view on, every count describes today's orders only.

Views: the work queues

Select a view to see only its orders. The chosen view gets an outline, and its name appears as a chip under the views with an ×, beside Clear filters. Select All to see every order again.

ViewShows
AllEvery order.
Needs attentionOrders with a failed payment or delivery, a paid parcel that came back to you and is not refunded yet, an open return, a refund still pending, a card order awaiting payment for two days, fulfilment running late, or cash on delivery that could not be collected. See Why does an order need attention?
Awaiting paymentCard orders whose payment has not arrived.
Ready to shipOrders marked ready, or with a shipment waiting to be picked up.
In deliveryOrders handed to the delivery provider, including parcels whose delivery failed, until they are delivered, come back to you or are cancelled. See Update a shipment’s status.
Payment failedCard orders whose payment failed.
COD ordersDelivered cash on delivery orders whose cash is still to collect. See Record cash collected on delivery.
CompletedFinished orders.
CancelledCancelled orders.
Needs attention: the orders with a problem to solve.
Awaiting payment, with nothing waiting: every card order has been paid.
Ready to ship: packed and waiting for the delivery provider.
In delivery: an order can be in delivery and need attention at the same time.
Payment failed, with nothing failed.
COD orders: delivered, with cash still to record.
Completed: when the row has no room, this view opens from More views.
Cancelled orders keep their number and history.

When the row has no room for every view, the last ones move into More views. The view you have chosen always stays on the row, so you can see what you are looking at.

Tip

To see the new orders waiting for you, use All — they come first, with Confirm in the Next action column. For a list of nothing but those, set Order status filter to Awaiting confirmation in Advanced filters and save it as a saved filter. For orders to pack, set Order status filter to Confirmed (or Preparing). See Search, filter and export orders.

Today: a date filter beside the views

Today sits at the end of the views, and its count is the number of orders placed today. Selecting it sets the From and To dates to today, and two chips appear, From: and To:, both with today’s date. Select it again, or remove the chips, to see every day.

Note

The Today count follows your store's time zone and leaves out cancelled and failed orders. The list itself, like the From and To dates, works in whole UTC days, which start at 3 am in Jordan. So an order placed between midnight and 3 am counts as today on the chip but is listed under the day before, and its order number carries that earlier date.

Today narrows the list, and every count, to today's orders.

More views

Select More views at the end of the row for the views that do not fit and for ten more specific ones. Each shows its count.

More views opens from the end of the row of views.

The first group holds the views the row had no room for, such as Completed, Cancelled and Today. The second group holds the specific views:

The views the row could not fit come first.
ViewShows
Overdue fulfilmentConfirmed, preparing or ready-to-ship orders past their fulfilment time and not yet picked up.
Due soonThe same orders with less than 24 hours left.
Delivery failedOrders whose latest shipment is Delivery failed.
Return requestedOrders with an open return: new, awaiting shipment or received.
Refund pendingOrders whose refund was sent to the payment provider and has not settled.
High valueOpen orders of 250 or more in your store's currency.
Missing trackingOrders ready to ship or in delivery whose shipment has no tracking number.
Returned to senderOrders with a parcel that came back to you. An unpaid one shows as cancelled; a paid one stays in Needs attention until you refund it.
Payment expiredCard orders awaiting payment for two days or more. Rare: a checkout nobody completes is marked Failed after about an hour.
Stalled ordersCard orders awaiting payment for two days, orders awaiting confirmation for two days, and confirmed or preparing orders past their fulfilment time.
Scroll the menu for the last views.

When you choose one of these, the More views button takes its name, so the filter in force stays on screen. Select the same view in the menu again, or remove its chip, to turn it off.

Return requested: the button now names the view in force.
Returned to sender: parcels the customer did not take. Refused cash on delivery orders are cancelled for you.

Choosing a view clears any order, payment, fulfilment or shipment status filter you had set, and choosing one of those clears the view: the two ask the same question in different ways.

The order actions menu on a row

Select ⋯ at the end of a row to open its order actions menu.

The menu opens on its own row.

The menu offers only what the order allows right now:

  • The next status — Confirm, Prepare, Mark ready or Complete. The order moves the moment you select it, with no second question, and "Order status updated." confirms it.
  • Print packing slip — for orders that are Ready to prepare, Preparing, Ready to ship or shipped. See Print packing slips and download invoices.
  • Export order — downloads this one order as a CSV file. Exports are on Starter and up — see Plans and what each includes.
Prepare, Print packing slip and Export order on a confirmed order.

The button in the Next action column works the same way. Confirm, Prepare, Mark ready and Complete act at once; the others, such as Update, Mark collected or Review, open the order on the tab where you finish the job.

Cancelling is not on the row. Open the order to cancel it — see Cancel an order.

Changing an order's status needs the Update order status permission. The store owner, store manager and sales staff roles all have it; see Staff roles: what each one can see and do.

Preview an order without leaving the list

Select anywhere on a row, away from its buttons, to open the Order preview panel. With the keyboard, move to a row and press Enter.

The preview shows the whole order without leaving the list.

The preview shows the same overview as the order page: the four status boxes, the next step, the progress bar, the customer and addresses, the items, the payments, the shipments and the activity. The next step button works here too.

A delivered COD order in the preview: record the cash from here.

Select Open full order to open the order page with all its tabs. To close the preview, select ×, press Esc or select the list behind it. See Read an order page.

Compact or comfortable rows

The list opens with compact rows, so more orders fit on the screen. To give each row more room, select the rows icon at the top of the last column, labelled Comfortable rows; select it again for Compact rows. Your choice is remembered in this browser.

Comfortable rows: easier to read, fewer orders per screen.

On a phone, each order shows as a card with the same details, and the order actions menu at its top.

Before your first order

Until your first customer orders, the list says No orders yet — "Your first order will appear here once customers start shopping." Every view shows 0.

A new store's orders list.

To get your first order, make sure customers can buy: work through the setup list before your first publish, choose how customers pay you and add your shipping rates.

If the list says "Could not load orders.", select Try again.

Next, learn to search, filter and export orders, or read an order page.
