Choose and arrange a collection’s products

Add products from your catalogue, put them in the order customers see, remove them, and edit or delete the collection.

This article shows you how to choose the products in a collection, put them in the order customers see, and take products out. It also covers changing a collection’s details and deleting a collection — which never deletes its products.

Open Manage products

  1. In the sidebar, open Products, then select Collections (open your collections (opens in a new tab)).
  2. Select Manage products on the collection’s row.

The Choose products window opens, with the collection’s name under the title. It has two sides:

  • All products, under Catalogue — every product in your catalogue, 12 at a time, with how many there are in the corner, such as 44. Drafts and archived products are listed too.
  • In this collection, under Storefront order — the collection’s products, numbered in the order customers see them, with their count in the corner.

In the Arabic console the two sides swap places, with the catalogue on the right.

The catalogue on one side, the collection in its storefront order on the other.

Each catalogue row shows the product’s main photo, its name and its link. When there are more than 12 products, Previous and Next under the list move between pages, with Page 1 of 4 between them.

You can also open the window from the Edit collection window, where the button shows the product count, such as Manage products (8) — see edit a collection. A brand-new collection opens it by itself as soon as you save it — see add a collection.

If the collection’s products cannot be loaded, a message says Could not load data. and the window does not open. Try again in a moment.

Search the catalogue and add products

  1. Type in Search products…. The list updates a moment after you stop typing, to products whose name, description or brand contains your words, in any of your store’s languages. The count in the corner shows how many match.
  2. Select the plus (Add to collection) beside each product you want.

The product goes to the bottom of In this collection, and its catalogue row turns tinted, with a red bin instead of the plus.

A product already in the collection shows a bin instead of a plus.

When nothing matches, the catalogue says No matching products and the count shows 0. Check the spelling or try a shorter word; clear the search box to see your whole catalogue again.

Nothing matches velvet. The collection itself is unchanged.

If the catalogue cannot load, its side says Could not load data. with a Try again button.

Any product can be added, whatever its status. Your storefront shows only the collection’s products whose status is Active, so a draft you add now appears in the collection as soon as you publish it. A collection with no Active products tells customers This collection is empty for now. See publish, archive or delete a product.

Put them in order

The order in In this collection is the order of the products on the collection’s page, from first to last. As the hint says: “Drag a product, or use the arrows, to set the order customers see.”

  • With the arrows. Select Move up or Move down on a product’s row to move it one place. The first product’s up arrow and the last product’s down arrow are greyed out.
  • By dragging. Point at a product’s position number (Drag to reorder), hold the mouse button down, drag the product onto the row whose place you want it to take, and let go. Dragging needs a mouse; on a touch screen, use the arrows.

The numbers update as you go.

Tip

Customers see the first few products without scrolling. Put your strongest pieces at the top — the ones with the best photos, or the ones that sell best.

Remove a product

To take a product out of the collection, select the bin (Remove from collection) on its row in In this collection. You can also select the red bin beside it in the catalogue.

The product leaves this collection only. It stays in your catalogue, in its category and in any other collection. Removing asks for no confirmation; if you remove one by mistake, add it again — it goes to the bottom — or close the window without saving.

Save the products

  1. Select Save products. It says Saving… while it works.

Collection products saved. appears, the window closes and the collection’s row shows its new count. What you save replaces the collection’s whole list, in the order shown. To empty a collection, remove every product and save.

If the save fails, a message says Could not save changes. and the window stays open with your changes, so you can try again. If a product was deleted from your catalogue while the window was open, the save is refused and nothing changes. A message says how many, for example: 1 of the selected product(s) could not be found in this store. Close the window, open Manage products again, and redo your changes.

Closing with changes not saved

Cancel, the close button and the Esc key close the window. If you changed the collection’s products or their order, the console asks first: Unsaved changes — “Your product changes have not been saved yet. Close without saving?”

  • Cancel keeps the window open, with your changes.
  • Discard changes closes it. The collection keeps the products and order it had before.
Discard changes throws away everything since you opened the window.

If you changed nothing — or put everything back as it was — the window closes straight away. While the products are saving, the window cannot be closed.

Edit a collection

  1. On the Collections page, select the pencil (Edit) on the collection’s row.

The Edit collection window opens with everything already filled in: Name, Sort order, Description and Visible in the storefront, then the products, the image, the search engine details and the translations. Each field works as when you added the collection — see add a collection.

  1. Change what you need.
Change the image and the search details here.
  1. To change a translation, open the language card, such as العربية, and change its fields. Generate missing fills only empty fields, so to have AI write a field again, clear it first.

  1. Select Save. Collection saved. appears.

If the save fails, a message says Could not save changes. and the window stays open with your changes.

Manage products in this window opens Choose products on top of it. Saving there saves only the products, and the button’s count updates; your other changes in Edit collection still need Save. Cancel, the close button and the Esc key close the Edit collection window without saving and without asking.

Warning

Renaming a collection changes its link, because the link is rebuilt from the name every time you save. The old address then shows Collection not found. — so a link you shared on Instagram or WhatsApp stops working. Share the new link after renaming.

Delete a collection: its products stay

  1. On the Collections page, select the bin (Delete) on the collection’s row.
  2. Read the prompt. Delete collection? says: “The products in it are not deleted or changed — only the grouping goes.”
  3. Select Delete to go ahead, or Cancel to keep it.
Only the collection goes. Every product stays as it is.

Collection deleted. appears. The collection leaves your list and your storefront, and its page shows Collection not found. Unlike a category, a collection can be deleted while it still holds products. If the delete fails, a message says Could not delete. Try again. Its name and link are free again afterwards, so a new collection with the same name gets the same link.

Deleting cannot be undone: the collection’s image, description, search details, translations and product order go with it. To put a seasonal collection away for next year instead, turn off Visible in the storefront — see hide a collection without deleting it.

Next, add the collection rail to your home page so customers find your collections, or add another collection.
